Rules and Etiquette

Wolverton Sports Club (Tennis Section) :- Rules (2018)

1. Officers

(a) The affairs of the section shall be managed by the following officers:- Chairman, Vice Chairman, Secretary, Treasurer, Match Secretary, Welfare Officer and a committee consisting of a maximum of 6 ladies, 6 gentlemen and 2 co-opted intermediates.

(b) All officers and committee members shall be elected at the Annual General Meeting. However if insufficient nominations are received then the committee as elected shall be able to co-opt members up to the totals shown in 1. (a) .

(c) Co-opted members shall have the same voting rights as elected members.

(d) Any member of the committee who resigns office or absents themselves from three consecutive meetings without reasonable excuse may be replaced at the discretion of the committee.

(e) The committee shall have the power to decide any question not dealt with in these rules and shall introduce such bye-laws as seem necessary.

(f) Members of the section shall indemnify the committee and officers of the club against any liability incurred by them or by any reason for their holding office.

(g) The committee shall have the power to expel any member whose conduct in their opinion is detrimental to the character and interest of the section.

(h) The management committee agrees to abide by the “disciplinary code and rules of Wolverton Sports Club (Tennis Section).

2. Subscriptions

(a) Subscription rates to be decided annually by the Committee under the following headings: -

(i) Senior Member

(ii) Intermediate Member (Outstanding junior members who would be granted full senior facilities)

(iii) Full time College Member (would pay as an Intermediate)

(iv) Junior Member

(v) Twilight Membership

(vi) Family Membership

(vii) Visitors Fee

(viii) New Members Registration Fee

(ix) Weekday Daytime Member

(x) Match Fees

(xi) Any other amount the Committee may consider necessary

The Committee reserves the right to introduce new membership categories as appropriate.

(b) All fees for existing members to be paid by 30th April, unless payment has been agreed in 3 instalments.

(c) New member’s subscription shall be due immediately on acceptance.

(d) The responsibility for collecting visitor’s fees rests with the member introducing the visitor and must be collected per person per visit and handed to the treasurer, a committee member or left behind the bar.

(e) A visitor may play no more than FIVE times during a season and NO junior members may bring visitors without prior approval of the committee.

(f) The committee shall be empowered to remove from the membership list any member whose subscription or other debt is one month overdue.

(g) Each member shall as a condition of membership agree: - to be bound by and subject to these rules (as in force from time to time) - to be bound by and subject to the Rules and the Disciplinary Code The Management Committee may terminate the membership of any persons, or impose any other sanctions they determine appropriate, in connection with the breach of any conditions of membership as set out in this rule.

2a. Membership

(a) Persons are eligible for full membership provided they are at least 18 years old.

(b) No person shall be denied membership of the Club on the grounds of race, ethnic origin, creed, colour, sex, sexual persuasion, occupation, religion or political persuasion. (As covered by the Club’s Safeguarding, Inclusion & Diversity Policies).

(c) Persons below the age of 18 may be elected as Junior Members without the right to hold office or vote at general meetings.”

3. Dress

Dress must be recognised Tennis kit; and non-marking tennis shoes. Shoe tags should be worn at all times.

4. Hours of Play and Use of Courts

(a) The courts will be open for play daily throughout the year unless deemed unfit by the Committee or in agreed use by an outside Agency.

(b) Junior members shall be allowed to play on the two bottom courts until 6:00pm Monday to Friday and at any other times if the courts are not required by senior members. The top courts should only be used by junior members, up to 6:00pm, if the bottom courts are full.

(c) All five courts shall be reserved for junior coaching on Saturday mornings until 12.30PM.

(d) During the year, Club play will take place on Wednesday evenings and Saturday afternoons unless otherwise stated.

(e) Priority is to be given to match play (Bucks Shield and Milton Keynes League) but courts not in use to be open for general play.

(f) Internal club tournaments (e.g. American Tournaments) may be organized by the coach or other club members which may result in restricted court availability. Such tournaments must be approved by a quorum of the committee and must be advertised to club members at least 7 days before the event.

(g) Match Practice shall be arranged at the discretion of team captains, these sessions shall have priority on court time and shall be no more than two nights a week, one night for men and one for ladies.

(h) Floodlights can be used at the following times:- Monday to Friday November to February inclusive 9pm Monday to Friday March to October inclusive 10pm Saturday all year 8pm Sunday all year 7pm Tokens can be purchased from the Bar.

5. Club Matches

The number of teams entered into the Bucks Shield and The Milton Keynes League should be decided each year by the elected Committee.

6. Meetings

(a) The Annual General Meeting shall be held after the 30th September each year, at a date and time to be fixed by the committee.

(b) The agenda for the AGM must be published in the Clubhouse at least two weeks prior to the said AGM.

(c) A requisition signed by not less than six members shall have the power to call an Extraordinary General Meeting, notice to be sent to the secretary at least 14 days prior to the intended meeting giving reasons for calling such a meeting.

(d) Only senior playing members who have paid their subscriptions shall be allowed to vote at any General Meeting.

(e) Meetings shall be held at the committee’s discretion and five shall form a quorum of which three must be officers or their nominees.

7. Reconstruction Fund

(Sinking Fund) The committee shall have full control of the funds of the Reconstruction Fund.

8. Alteration to Rules

No alteration to these rules shall be made except at an Annual or Extraordinary General Meeting referred to in Rule 3. Notice of such proposed alterations shall be given on the notice convening the meeting.

9. Safeguarding, Inclusion & Diversity Policies

The Club committee will ensure that all Coaches/ Helpers whether paid or unpaid will adhere to the Clubs Safeguarding Policy as well as the Club’s Inclusion and Diversity Policy that is consistent with the current guidelines laid down by the LTA and Milton Keynes Council. The Club committee will further ensure that, consistent with the guidelines, a Safeguarding Policy Statement together with, Diversity, and Inclusion Policy can be viewed on the club notice board and on the Club’s web page. The Club Committee will ensure that consistent with LTA guidelines, a welfare officer will be nominated. DBS checks will be required as laid down by LTA Guidelines.

10. Disciplinary Code

Members agree as a condition of membership, to abide by the rules and disciplinary code of Wolverton Sports Club (Tennis Section), this includes players and other persons so far as is reasonably practicable.

10a. Definitions

“Disciplinary Code” means the disciplinary code of the LTA in force from time to time; “LTA” means LTA CLG and its subsidiaries or such successor entity or entities as become(s) the governing body of the game of lawn tennis from time to time. Member means a member of the Wolverton Sports Club (Tennis Section); “Rules” also means the rules of the LTA as in force from time to time.

11. Coaches

Wolverton Sports Club (Tennis Section) agrees that all unlicensed and unregistered coaches using the facilities of Wolverton Sports Club (Tennis Section) will be required, as a condition of such use, to agree to be bound by and subject to these rules, the Rules and the Disciplinary Code, such agreement to contain an express acknowledgement that the Contracts (Rights of Third Parties) Act 1999 applies and that [the LTA] and Wolverton Sports Club (Tennis Section) can enforce any breach at its option and in its sole discretion.

12. GDPR Policy (Privacy)

Wolverton Sports Club (Tennis Section) is aware that Data Protection legislation applies to the Club and the website informs people of how their data will be used all officials, staff and members understand how to handle personal data. Club officials have given permission for their names and contact details to be made publicly available.. Personal Data will only be used for Club purposes. The full policy can be found here.
